2020 Archive Work Training Seminar

Sias University held a special training seminar on August 20 on work in the student archives to standardize the work in the university archives, improve the level of file management, and promote the intelligent organization of the archives room in the Library. Sias Executive President, Wang Jialin, attended the meeting. The heads of the Administration Office, Information Technology Management Center, and all the archivists attended the seminar. The Director of the Archives Office, Ding Linlin, presided over the meeting.


At the meeting, Wang Jialin emphasized the importance of the archives from his experience and pointed out that the archives work should be promoted from 6 aspects: legalization of governance, diversification of resources, the convenience of utilization, information of management, safety and efficiency, and the specialization of the archives team. He said that it was necessary to further standardize the physical management of the archives to maximize the importance of the archives in the development of the university over the course of the upcoming 5-year plan.


The Director of the Administration Office, Qin Nan, read out the commendations for individuals involved with archival work from the 2019/20 academic year, as well as the outstanding groups and individuals for the "New China Memory" on June 9, 2019. Awards were also presented to 6 units and 15 teachers who won the Excellent Organization Award essay competition.


At the training sessions, Liu Yuyan, an archivist from the Academic Affairs Office, Hu Weili, an archivist from the Kansas International Institute (KII), Xiao Chuanna, an archivist from the Academic Affairs Office, and Xie Zhenzhu, an archivist from Zhiyuan Residential College, shared their experiences in archival work.


The Assistant Director of the Information Technology Management Center, Li Hu, delivered a special lecture on 'Security Training for Archivists'. Speaking about network information security at home and abroad as a background, he elaborated on the problems of information security faced by digital archives. Ding Linlin delivered a special report on the archival work. She pointed out that digital archives and intelligent archives were the future, and encouraged archivists at Sias to keep up with the development trends of archives and continue to innovate in the field of archival work. She also explained the filing of electronic documents and the single set management of electronic archives. Shi Huifang explained particular file management systems and the practical operation of file arrangements and filing.


After the meeting, all the full-time and part-time archivists at Sias University went to the Sias History Museum and the archives room in the Library for exchanges. The 2020 Archive Work Training Seminar gave a platform for archivists, clarifying their roles, and helping them enhance their sense of responsibility.
